GR/IR Clearing Explained for Beginners: What Every MM Consultant Must Know

What Is GR/IR Clearing?

GR/IR stands for Goods Receipt / Invoice Receipt. The GR/IR Clearing account is a temporary holding account in SAP that sits between the time goods are received from a vendor and the time the vendor's invoice is processed. It exists because goods receipt and invoice receipt almost never happen at the same time. Understanding this account is crucial for anyone working on the Procure-to-Pay (P2P) process.

When goods arrive at your warehouse, SAP creates a liability in the GR/IR clearing account (because you owe the vendor money). When the vendor's invoice arrives and is posted, SAP clears that liability from the GR/IR account and moves it to the vendor's payable account (Accounts Payable).

If both the goods receipt and the invoice are posted for the exact same amount and quantity, the GR/IR account balance is zero. But in real projects, this rarely happens perfectly because of timing differences, partial deliveries, quantity discrepancies, and price variances.

Why Does the GR/IR Account Exist?

SAP uses the GR/IR clearing account to solve a fundamental accounting problem: goods receipts and invoice receipts happen at different times, in different departments, and sometimes for different amounts.

  • Timing gap: Goods might arrive on March 1, but the vendor's invoice might not arrive until March 15. During those 14 days, the company has a liability (it owes the vendor money), and the GR/IR account captures this
  • Departmental separation: The warehouse team posts goods receipts (MIGO). The accounts payable team posts invoices (MIRO). These are different people using different transactions at different times
  • Quantity and price differences: The PO might be for 100 units at INR 500 each. The vendor delivers 95 units, and the invoice shows INR 510 per unit. The GR/IR account handles these mismatches

Step-by-Step: How GR/IR Works

1

Purchase Order is Created

A purchase order is created for 100 units of Material A at INR 1,000 per unit with Vendor X. Total PO value: INR 100,000. At this point, no accounting entries are posted. The GR/IR account is unaffected.

2

Goods Receipt is Posted (MIGO, Movement Type 101)

The warehouse receives 100 units and posts GR. SAP creates the following accounting entries using movement type 101:

AccountDebitCredit
Inventory Account (BSX)INR 100,000
GR/IR Clearing Account (WRX)INR 100,000

The GR/IR account now has a credit balance of INR 100,000. This represents the liability: "We received goods worth INR 100,000 but have not yet paid the vendor."

3

Invoice is Posted (MIRO)

The vendor sends an invoice for INR 100,000. The AP team posts it in MIRO:

AccountDebitCredit
GR/IR Clearing Account (WRX)INR 100,000
Vendor Account (AP)INR 100,000

Now the GR/IR account is zero (credit of 100,000 from GR minus debit of 100,000 from invoice = 0). The liability has moved from the GR/IR clearing account to the vendor's AP account.

When the GR/IR Account Does Not Clear to Zero

In real projects, the GR/IR account often carries a balance. Here are common scenarios:

ScenarioGR/IR BalanceReason
GR posted, invoice not yet receivedCredit balanceGoods received but vendor has not sent invoice yet
Invoice posted, goods not yet receivedDebit balanceVendor invoice arrived before goods (advance billing)
Partial deliveryCredit balance (partial)Vendor delivered 80 of 100 units, invoice pending
Price varianceSmall debit or creditInvoice price differs from PO price
Note: A persistent GR/IR balance at month-end is normal and expected - it simply means not all transactions have been fully matched yet. The key is to clear genuine mismatches before period close.

The GR/IR Clearing Program (MR11 / F.13)

At month-end or year-end, the finance team runs the GR/IR clearing program to identify and clear open items in the GR/IR account. This program:

  • Matches GR documents with invoice documents for the same PO line item
  • Clears matched items (sets them as "cleared" in the GR/IR account)
  • Identifies unmatched items that need attention (e.g., missing invoices, missing goods receipts)

Transaction MR11 (Clear GR/IR Clearing Account): This function clears the GR/IR account for PO items with quantity differences where no further goods receipt or invoice is expected, for example at period end. It posts the difference (to the stock account or a price difference account, depending on price control) and clears the open item.

Transaction F.13: This is the standard automatic clearing program in FI. It can also be used to clear GR/IR items based on clearing criteria like PO number, material, and plant.

Pro Tip: Always run MR11 in simulation mode first to review what will be cleared before committing the posting. This avoids unintended clearing of open items that still need resolution.

Key Takeaways

  • The GR/IR Clearing account is a temporary account that bridges the time gap between goods receipt and invoice receipt
  • GR creates a credit in GR/IR (liability). Invoice creates a debit (clears the liability)
  • When both are posted for the same amount, the GR/IR balance is zero
  • MR11 and F.13 are used to clear open GR/IR items at period-end
  • GR/IR clearing is a common topic in SAP MM and FICO interviews
